Managing Availability
Adding Bookings
There are two ways to make a manual (or Dashboard) booking. You can select the white Add Booking button, input your dates and number of people (including any child ages when requested), then simply follow the booking flow in order to complete the booking.
The more common method is to add the booking straight into the Availability grid. Go to the Availability grid in the blue top-line menu bar and click the green square that corresponds to the check-in date for the particular unit you want to book. The square will turn blue. Then click the check-out date in the same row, to turn the entire period blue. Hit the green Add Booking button above the grid, then follow the booking flow in order to complete the booking.
In both instances, the confirmed booking period will now be denoted in the calendar with a red 'C'. The half-shaded days signify a changeover day, whereby two different bookings may commence/finish on the same day. So, for instance, the check-out day of the booking you have added will have the top half shaded red, meaning no one can check-in on this day. If there is no other confirmed booking beginning on the check-out date, its bottom half should be either green (meaning a check-in is possible on this day) or black (if this has been set unavailable or your rates do not allow for check-ins on this day. Making multiple unit bookings
If you have a large group booking where the booking party exceeds the limit capacity of a single unit, it is possible to allocate individual people within that booking into different units.
To book multiple units, make your initial booking search by following the instructions above. Once on the unit results page, you can press the orange 'Book Several Units' to change to multi-unit mode (the system defaults to multi-unit mode for bookings including more than four people).
Press the 'Select' button on the units you wish to book, then select the adult/child icon displayed on each unit in order to allocate the person to that unit.
Once you have placed all individuals within a unit, select the 'Calculate Price' button.
Editing bookings
You can access your bookings via the Bookings tab in the blue top-line menu bar. Simply click on the booking you wish to amend then select the Edit Booking button on the Booking Confirmed page. Alternatively, you can edit your bookings via the Availability grid by clicking on the dates marked as 'C' or 'U'. From the 'Details for booking on...' menu, you can amend the dates, reallocate the booking to a different unit, or change the party size by using the grey Details, Units, Extras and Discounts tabs.
Please note that for any amendment you make to the booking, a message will appear with the following:
You have changed booking details which affect the price, would you like to update the price to match?
If you want to update the price in line with any changes you have made to the booking, hit the Recalculate Price button. If you want the price to remain the same, just press the green Save Changes button to update the booking details without amending the price.
Please note that if you need to amend a booking, you must never cancel it. Whenever you cancel a booking, the customer receives an automated notification that their booking has been cancelled. Furthermore, any automated balance payments will not be taken. So please avoid this unless the customer has genuinely requested that the booking be cancelled. Making a single unit unavailable
To make specific units unavailable, go to the Availability grid in the blue top-line menu bar and click the green square that corresponds to the first date that particular unit is unavailable. The square will turn blue. Then click the last date that unit is unavailable, to turn the entire period blue. Then hit the green Set Unavailable button above the grid. The period will turn grey for that unit, with a 'U' to denote it is now unavailable for customers to book.
Making multiple units unavailable
To make multiple units unavailable, go to the Global Availability line at the bottom of the Availability grid and click the green square that corresponds to the first date you want to make unavailable. It will turn blue. Then click the last date, to turn the entire period blue. Then hit the green Set Unavailable button.
You can also make specific groups of units unavailable by using the Show dropdown to filter the Availability grid to only display particular groups, then follow the instructions above. You can learn more about creating groups here.
Making a unit available again
To make a period available again, click on any grey unavailable square marked with a 'U' to reveal the unavailable booking. Hit the Set Available button. Please note, if you have made multiple units unavailable using the Global Availability line, you will need to click on a 'U' square on one of the units, rather than the grey squares on the Global Availability line. If, having set multiple units unavailable using the Global Availability line, you only want to make some of these units available, click on a 'U' square on one of the units as outlined above, then select the grey Units tab. Untick the unit(s) you want to make a available then press the green Save Changes button.
